Create an entry schema

Create and publish the field structure used when adding entries to a Zwyn Tag.

An entry schema defines the form used for entries on a tag. Before users can create structured entries, the tag needs an active schema with the fields you want to collect.

Before you start

  • You need to be signed in as the owner of the tag.
  • The tag needs to be claimed and visible in your dashboard or My Tags page.
  • Think about what information each entry should collect, such as notes, dates, numbers, links, images, or yes/no values.
  • Decide which fields should appear in entry overview cards or lists.

Steps

  1. 1 Open the tag from your dashboard or My Tags page.
  2. 2 Open the Entries area and go to the Schema page.
  3. 3 Enter edit mode or start a new schema draft.
  4. 4 Add fields for the information each entry should contain.
  5. 5 Open each field’s settings to choose its label, key, type, required state, overview visibility, and type-specific options.
  6. 6 Arrange and resize the fields on the layout grid so the entry form is easy to read.
  7. 7 Check desktop, tablet, and phone layouts so the form works on different screen sizes.
  8. 8 Save the schema draft when the field structure is valid.
  9. 9 Publish the draft when you are ready for new entries to use this schema.

Choosing field types

  • Use text fields for notes, descriptions, names, instructions, or longer written values.
  • Use number, date, and yes/no fields when the value should be structured and consistent.
  • Use link fields for URLs, manuals, references, or external resources.
  • Use image fields when entries should include photos or visual documentation.
  • Use label and icon fields to structure the form or separate sections visually.

Schema tips

  • Start with the fields you really need. A shorter form is easier to fill in consistently.
  • Only mark fields as required when every entry should always include that value.
  • Mark only the most useful fields as shown in overview so entry lists stay readable.
  • Use larger fields for long text or images and smaller fields for short structured values.

What happens next

  • After publishing, the schema becomes active and can be used to create new entries.
  • The Create Entry page uses the active schema to build the entry form.
  • Future schema edits are saved as drafts first and only affect new entries after publishing.

Publishing affects new entries

Publishing a schema draft changes the structure used for new entries. Existing entries remain connected to the schema version they were created with.
